Privacy Policy
Last updated November 2, 2026
This policy explains how Synergy Music Group, LLC ("Encore", "we") handles personal information when you use Encore.
What we collect
- Account details: name, email, password (stored securely by our authentication provider, never readable by us).
- Workspace data you enter: artists, deals, buyer contacts, contracts, invoices, calendars, songs, notes and files.
- Fan data: names, emails, phone numbers and cities of fans who opt in on your pages, and messages they send.
- Buyer data: details buyers submit on booking forms, signatures (typed name, time, IP address and browser) and payment status.
- Connected social accounts: when an artist connects Instagram, Facebook or TikTok, we store the access token that platform issues and the account statistics it returns (follower, like, view and post counts, recent posts, and for Instagram aggregate audience cities, countries, ages and genders). We never see the account password. Disconnecting deletes the token; we keep the daily statistics history for your reports.
- Billing: handled by Stripe. We never see or store full card numbers.
- Usage: basic logs such as page views and errors to keep the service working.
How we use it
To run Encore for you: show your data to your team, send the emails and texts you ask us to send, process payments, sync calendars, pull public artist data and connected-account statistics, and generate the summaries and drafts described below. We don't sell personal information, and we don't use your workspace data for advertising or to benefit other customers.
AI features
Some features use a large language model (currently provided by Anthropic) to write things for you: the weekly brief and draft messages, captions and replies. We send the model only the facts needed for that task (for example a deal's date, city and status, aggregate fan and social numbers, or a short topic you type). The model does not receive your fans' contact details, passwords or payment information, its output is always shown to you to edit before anything is sent, and our provider does not use your data to train its models.
Who we share it with
Only the service providers needed to run Encore — such as Supabase (database and storage), Vercel (hosting), Stripe (payments), Resend (email), Twilio (texting, through your own account), Anthropic (AI drafting) and the social platforms you connect (Meta for Instagram and Facebook, TikTok) — under their own privacy terms; and anyone you choose to send things to (buyers, fans, teammates). We may disclose information if the law requires it.
Support access
Encore staff see your workspace only when you grant support access, or to investigate security, abuse or legal issues — and every access is logged and shown to you.
Your fans' and buyers' information
For fan and buyer information you collect, you decide how it's used and we process it on your behalf. Fans can unsubscribe from emails or reply STOP to texts at any time.
Security and retention
Data is encrypted in transit, access is limited by role, and secrets such as API keys are stored server-side only. We keep data while your account is active and for a reasonable period after, unless you ask us to delete it sooner.
Your choices
You can view and edit your data in Encore, export it, or ask us to delete your account by emailing team@encoretheapp.com. Depending on where you live, you may have additional rights, which we'll honor as required by law.
Children
Encore isn't intended for anyone under 18 to create an account.
Changes
We'll post updates here and notify account holders of material changes.
